MIPP Studio Booking Itinerary & Checklist

Before Your Booking:

  • Complete Orientation: If you haven’t already, attend a free orientation session or schedule one for €25 before your first booking.
  • Unless you’re authorised for unsupervised rental: you will need to hire an assistant/supervisor from MIPP during your rental.
  • Payment: Ensure your payment is made in full online or arrange for payment on the day.
  • Equipment: Confirm the availability of any additional equipment you may need beyond the guaranteed items.
  • Arrival Time: If it’s your first rental, plan to arrive 30 minutes before your client to allow for orientation. Allow time for setup/teardown in your booking.
  • Communicate Changes: If your booking times change, or you need to extend, inform MIPP as soon as possible.

During Your Booking:

  • Studio Access: The MIPP representative will provide access to the studio and deactivate the alarm 15 mins before your scheduled rental.
  • Equipment Usage: Use the provided equipment responsibly and report any damages immediately.
  • Cleanliness: Maintain a clean and organized workspace throughout your booking. Leave all surfaces clutter free and equipment in it’s designated area
  • Noise Levels: Be mindful of noise levels, especially if music is being used.
  • Capacity: Do not exceed the maximum capacity of 10 people unless previously agreed upon.
  • Background Usage: Note that usage of more than 2 meters of background paper incurs additional charges. Do not cut the background. If you replace a background/ use yours, return the White & Black after you’re done
  • Before/After Photos: Take photos of the studio upon arrival and before leaving (only for unsupervised rentals).
  • Nespresso Machine: Can be used however you must bring your own pods and ensure the drip tray is emptied and used pods are disposed of from the machine.
  • Batteries: Ensure all used batteries are left on charge.

After Your Booking:

Clean-up:

  • Return all equipment to its designated storage areas.
    • Studio lights/heads, Stands – on the stand
    • Strip lights, Soft Boxes on the table under the TV
    • Any other stands/lights/tripods in the studio cupboard 
    • Clips, Tape, Triggers in the containers on the windowsill
  • Wash any used kitchen cutlery and glasses.
  • Remove all garbage and any organic or food waste from the studio.
  • Leave the studio in the same condition as you found it.
  • Equipment Storage: If leaving personal equipment, ensure it is clearly labeled and stored in the small room.
  • Photos: Send the before-and-after photos to MIPP if you had an unsupervised rental.
  • Feedback: If any consumables are running low, inform MIPP.
  • Review T&Cs: If you have any questions or concerns, review the full terms and conditions or contact MIPP for clarification.

Remember:

  • Professional Conduct: Maintain a professional and respectful demeanor at all times.
  • No Smoking Indoors: Smoking is strictly prohibited inside the studio and not in the courtyard/shaft. Only outside the front door.
  • Alcohol: Alcohol consumption may be permitted with prior approval from MIPP.
  • Supervision: Unless you meet the criteria for unsupervised rentals, a MIPP representative will be present.

Hire Terms & Conditions

Studio Rates

Studio Hire, minimum of 2 hours

• €25/hour Members

• €37.50/hour Non Members

Cleaning Fee

• €50 per booking if the studio is not left clean & tidy

Orientation

• Free during specific scheduled MIPP Events

• €25 as part of the first studio booking

Assistant/Supervisor

• €20/hour

Booking and Payment

Reservation: To secure a booking, you will receive confirmation by a MIPP representative who will be present on the day and provide you and any of your guests access to the studio. All photographers booking the studio will be required to attend an orientation session. These will be organised for free throughout the year or can be held before the first booking at a rate of €25. – 

Payment: MIPP is a cash free organisation. The total rental fee, including any additional services or equipment is due prior to the rental session and can be paid online via our shop or on the day.

Cancellation and Refunds

Cancellation Policy: 

• Cancellations made at least 3 days in advance of the booking time will be refunded in full, minus a 1-hour rental fee. 

• Cancellations made within 24 hours of the booking time will be charged the full rental fee. 

• We understand things happen and will do our best to accommodate any adjustments to your booking. 

• The Alarm will be deactivated 15-30mins before & after the booking unless advised otherwise. We understand that booking times may change but it’s important to let us know as soon as possible. – 

• Rescheduling your studio hire can also be organised simply by contacting us with at least 24 hours notice. Rescheduling requests made at least 3 days in advance of the booking time are free, otherwise a 1hr fee is chargeable.

Studio Usage

For unsupervised rentals, you should take photos when you arrive and before your leave. These should be sent to MIPP.

Studio Hours: We aim to be as accommodating as possible and offer outside of daily hours upon request. Set up and packing down of equipment needs to be factored into your studio hire timeframe.

Additional Charges: Overtime will be charged at a normal full rate. 

Capacity: There must be no more than 10 people in the studio at a time unless notified and accepted upon booking. We are located in a residential area and look to keep noise to a minimum as a way of respecting our local community. This means music and noise levels must be kept to a respectable level and should this level dictated by the MIPP representative be breached, you will be asked to adjust or risk the possibility of being asked to leave. In the case of persistent neighbour complaints, you will not be allowed to rent the studio in the future

Supervised vs Unsupervised Hire

Photographers will be allowed to rent the studio without supervision if they have:

• Multiple rentals in good standing (studio has been left clean, on time, no breakages), 

• Completed orientation at least once in the last 12 months

• Been active members for at least 6 months

• Have the required skill & experience to understand & operate studio equipment

• Have been granted access to the unsupervised photographer list

• You leave the studio in the state you expect it to be when you arrive

All other rentals will require an assistant/ supervisor

Failure to adhere to rental & cleanliness conditions will cause the photographer be removed from the unsupervised photographer list and will subsequently require a supervisor irrespective of experience/membership

Equipment and Facilities

Equipment Provided: We guarantee the following equipment will be available for your use: 2 Godox studio heads with triggers (for Canon, Sony, Nikon, Panasonic and M43s), 2 softboxes, a reflector, 2 flags, and a black and white background.

Additional equipment and props can be brought and used as you wish, provided they are not hazardous in nature.

Other equipment in the studio may be available on the day but is not guaranteed. 

DO NOT CUT THE PAPER BACKGROUNDS. Usage of more than 2m of background per booking is chargeable at €10 per meter. If the roll finishes a spare white/black is available in the small room. Kindly advise MIPP before taking one

You are welcome to bring and mount your own backgrounds – when you finish, kindly make sure that the black and white are mounted as found.

Equipment Damages: By booking the MIPP for studio hire, you accept any damages to the premises and its contents made accidentally or intentionally by anyone involved in your session. 

Equipment Storage: Members leaving any equipment in the studio should have it clearly labeled and stored in the small room.

• Studio lights/heads, Stands – on the stand

• Strip lights, Soft Boxes on the table under the TV

• Any other stands/lights/tripods in the studio cupboard

• Clips, Tape, Triggers in the containers on the windowsill

Liability and Insurance

Insurance: We recommend that indemnity insurance is arranged should the person responsible for hiring the studio be covered by a third party insurer.

Use of Images

Intellectual Property: Images created during the session hire are entirely protected by copyright law which resides with the author of the image/s, video content. We always appreciate a mention on social media, however this is not obligatory and at the sole discretion of the content creator. 

Model Releases: If applicable, model releases are the sole responsibility of the organiser/photographer and the MIPP will not be held accountable for any disputes that occur between parties involved. 

The MIPP is merely providing a space for hire and copyright issues that may arise are between the external parties involved in the hire.

Studio Rules

Conduct: At the MIPP, we foster a safe space for everyone and professional conduct is expected from all involved. Anyone found being disrespectful or displaying behaviour not in line with our Code of Ethics, will be asked to leave the premises. 

Smoking and Alcohol: There are designated areas for smoking that exist outside of the building. No smoking is permitted inside the building under any circumstances.

Alcohol may be permitted on the basis we are notified and we agree to the conditions surrounding such exercise. Any presence or use of illegal substances will be reported to the authorities.

Kitchen, Garbage and Cleanliness

• The studio renter is responsible for leaving the studio in a clean state.

• MIPP will provide water, fridge, tea/coffee making facilities together with a Nespresso machine (Bring-Your-own-pods).

• All equipment should be returned to the designated space, all kitchen cutlery and glasses should be washed, and all garbage should be in the appropriate bins.

• All Garbage, Organic and food waste (including boxes/containers) should be removed from the studio.

• If any consumables are nearing the end (garbage bags, tea/coffee/water, toilet paper/soap) please inform the MIPP at the end of the booking

Batteries

All batteries used during the rental should be left on charge when leaving the studio.

Force Majeure

In the unlikely event, forces beyond human control take effect and hinder day to day operations including studio hire, we will offer you the option for a refund or the chance to reschedule the booking.
